Plan your season
Our Season is your team’s schedule in one place: every tournament, dual, tri, and quad, with times, the bus, and the checklist your Athletic Director needs. It replaces the shared spreadsheet, and it counts your dates against your state’s limits as you go.
You need to be a member of your organization to see it, and a contributor or admin to change it. It’s the Our Season tab at the top.
Get set up
Section titled “Get set up”Do these once a season. Each is a page in the menu on the left of Our Season.
- Team Settings: enter how many wrestlers you have in each division. Counts, not names. Other coaches see them on events to judge matchups. Count 9th graders under JV or varsity.
- Blackout Dates: add the days you can’t compete, such as winter break or a gym conflict. Enter the First day, the Last day (leave it empty for one day), and What it is, then Add blackout. Event search and the open-date finder skip these days.
- Bus Settings (optional): add a cushion to the drive time the bus times are worked out from. It starts at 0.
Add your dates
Section titled “Add your dates”There are three ways to put a date on the schedule. All of them end on the same form.
- Add a date, at the top right of Current Season, for anything you already know: a conference dual, your own invitational, a tournament you’ve signed up for.
- From an event’s page: after you mark your team attending, choose Add to Our Season in the Your Team panel. The date comes filled in from the event.
- For an open date: under Find events that fit our open dates, pick the Division and how far you’ll drive, then Find events. It lists events with room on days that division is still free. Choose Add to Our Season on one, or tick two to four and Compare them.
On the form, the parts that matter most:
- Date (and Last day for a multi-day event), the Divisions going, the Type, and Home or away.
- For an away date, pick the Host school. That gives the drive time for the bus.
- Times: when you need to arrive, weigh-ins, when wrestling starts, and the estimated finish, for each day.
- Bus: choose Bus stays or Bus goes back, then Calculate for Bus leaves and Bus returns. You can type over either.
- The checklist: contracts, the bus, the hotel, the facility, officials, and USA Bracketing. Each item is To do, Done, or Not needed.
- Select Add to Our Season.
Keep an eye on the limits
Section titled “Keep an eye on the limits”The cards at the top of the schedule count your dates against your state’s rules:
- Team events, like “11 of 16”.
- Girls on their own: girls-only dates against their own allowance.
- Estimated matches per wrestler, for each division.
A bar turns amber at the limit and red over it. Postseason dates don’t count, and neither does a date where you turn off Counts toward season limits (a 9th grade tournament, for example).
Share it with your Athletic Director
Section titled “Share it with your Athletic Director”Open Sharing in the menu.
- Copy the Link for your Athletic Director and send it. It’s a read-only page with the schedule, the times and bus for each date, and the checklist. No login is needed, so share it only with your AD.
- Under Email changes to, add your AD’s email (up to five addresses) and select Save email addresses. Once a day, they get a list of what changed.
- When the schedule is set, paste the school’s Official school calendar link, select Save calendar link, and switch on The schedule is final.
If the link gets shared by mistake, Replace the link makes a new one and turns the old one off. Send your AD the new link.
Through the season
Section titled “Through the season”- Tick checklist items right in the schedule as they’re done.
- When a host changes an event on your schedule, the date says “host changes to review”. Open it and accept or keep your own value.
- History in the menu shows every change and who made it.
Next season
Section titled “Next season”Once the season is over (or while you plan ahead):
- On Current Season, choose Copy to next season. Every date moves to the same weekday of the same week of the month, marked tentative. Times, the bus, and the host school come along; the checklist starts fresh.
- Open Next Season in the menu and confirm or change each date.
The copy only works while next season is empty. Earlier seasons stay under Previous Seasons, read-only.
For athletic directors
Section titled “For athletic directors”You don’t need an account to see a coach’s schedule: the link they send you shows everything, and the daily change email tells you what moved. If you schedule for several teams, you can also join each organization as a member to see their seasons in the app.
