Our Season
Our Season, at /season, is your team’s schedule: every tournament, dual, tri, and quad, home or away, with the things your Athletic Director needs to know (contracts, buses, facility, officials). It replaces the shared spreadsheet. It’s for planning; on the day of the event you still use USA Bracketing or TrackWrestling.
Our Season appears as a tab at the top once you’re a member of an organization. Every member can see the season; contributors and admins can change it. It shows the organization you’re working as (the organization switcher at the top).
The menu on the left has the pages, and the one you’re on is highlighted:
| Menu item | What’s there |
|---|---|
| Current Season | This season’s schedule: the counts at the top, events that fit your open dates, and the dates as a list or calendar. Add a date is at the top right. |
| Next Season | The same for next season. |
| Blackout Dates | Days the team can’t compete. |
| Sharing | The official school calendar, whether the schedule is final, and the private link and change emails for your Athletic Director. |
| Team Settings | Team size: wrestlers per division. |
| Bus Settings | The padding Calculate adds to the drive time. |
| History | Who changed what, and when. |
| Previous Seasons | Earlier seasons’ schedules, as they were. Pick the season; nothing on it can be changed. |
On a phone the menu is a button above the page that names the page you’re on; tap it to open the list, and tap a page (or anywhere outside the list) to close it. The list shows each season’s years.
Current season and next
Section titled “Current season and next”Current Season and Next Season each have their own dates; the menu shows each one’s years. Seasons run September 1 to August 31. The other pages belong to a season too: each has a switch at the top, 2026-27 or 2027-28, for which season you’re setting.
Divisions
Section titled “Divisions”Each date is for one or more divisions, and each division has its own color on the schedule:
- A high school plans Varsity, JV, Girls varsity, Girls JV, and 9th grade.
- A middle school plans one division, Middle school, on its own schedule. If you coach both, switch organizations at the top.
The counts at the top
Section titled “The counts at the top”The counts follow your state association’s rules. In Minnesota, boys and girls are one team:
- Team events: regular-season dates against the team’s limit, for example “11 of 16”, with how many are left. Each date is one event, whichever divisions go. Boys and girls at different events on the same day are two dates, so two events.
- Girls on their own: dates where only the girls’ divisions go, against their own allowance, for example “3 of 8”. These don’t count toward the team’s events. Once the allowance is used, each further girls-only date uses one of the team’s events, and the card says so (“plus 1 from the team’s events”).
- Estimated matches per wrestler: for each division, the matches a wrestler can expect across the schedule, against the state’s limit, for example “31 of 45”. It’s an estimate for planning. Actual matches are tracked in USA Bracketing or TrackWrestling.
- Season: the season, Final once you mark the schedule final, your state’s season start and end dates, and Official school calendar when you’ve added that link.
A bar turns amber at its limit and red over it.
What doesn’t count: dates with the type Postseason, and dates where you turned off Counts toward season limits.
Limits and season dates are set for the whole state by the site’s administrators. If your state’s aren’t set yet, the counts show without a limit, and the Season card says the dates aren’t set. A middle school has season dates and no event limits.
Find events that fit our open dates
Section titled “Find events that fit our open dates”For when you have a date or two left: pick the Division and how far you’ll drive (Within), then choose Find events. You get events with room, from today to the end of the season, on dates that division’s wrestlers haven’t booked yet (a girls’ division is blocked by any girls’ date, a boys’ division by any boys’ date). It leaves out events already on your schedule, ones you host, and events on your blackout dates. It also says how many events you have left under your state’s limit.
To see only one day, pick a date in On (optional). You get the events on that day that fit.
Each event shows as a line like the compact list, with Add to Our Season to put it on the schedule (filled in from the event).
The best fits come first (Sort: Best fit or Date), and each event says why it fits under Why it fits:
- Your team has gone before (or “has gone 3 years”): your team went to an earlier year of the event, by marking it attending or having it on your schedule. This counts most.
- The drive, like “38 min away” (or the distance when there’s no drive time). Closer counts more.
- Room for 6 more teams, when the host set how many teams it wants. Open events rank above Near capacity ones.
The 30 best fits are listed.
Draft a plan
Section titled “Draft a plan”To fill several open dates at once, select Draft (it says how many dates) in the box above the events. It proposes the best fit on each open day, one event per day, up to the number you have left under your state’s limit (six when your state has none, one when you picked a single date in On). Untick any you don’t want and select Add as tentative dates. Each one goes on your schedule as tentative and linked to its event, so it follows the host’s changes; confirm it with the host, then mark it confirmed.
Compare events
Section titled “Compare events”To choose between events, tick two to four of them and select Compare. They open side by side for the division you picked:
- Drive from your school: the drive time, or the distance when there’s no drive time.
- Wrestlers there, with the division’s name, like “Girls varsity wrestlers there”: how many wrestlers the other teams have in that division, added up from their team sizes, and how many of the teams have entered one. Your own team isn’t counted.
- Counts as: which of your state’s limits the event would use, and how many you have left, for example “One of your 8 girls-only events (5 left)”.
- Teams: the host’s team and each team attending, with every division’s size. A team that hasn’t entered any shows “No sizes entered”.
Add to Our Season under an event adds it. An event already on your schedule says so.
List, week, and month
Section titled “List, week, and month”Above the schedule, choose how to see it. Your choice is remembered on this device.
- List: one row per date, with the checklist. See The schedule.
- Week: Sunday to Saturday, with each date’s divisions, home or away, the host, the day’s times, and the bus.
- Month: the whole month, with each date’s name.
In Week and Month, the arrows move a week or a month at a time, and Today comes back. The calendar opens on today during the season, and otherwise on the first date of the schedule. Each date has its divisions’ colors, blackout dates are shaded gray with their name, days outside your state’s season are hatched, and tentative dates have a dashed outline. Contributors and admins select a date to change it, or the + on a day to add a date there. On a phone, the calendar becomes a list of days.
Show or hide divisions
Section titled “Show or hide divisions”Next to the view buttons is a switch for each division on your schedule, in its color. Select one to turn it off; its name is struck through and its dates leave the list and the calendar. A date for several divisions stays as long as one of them is on. Show all turns them all back on. Use it to look at only the girls, only the boys, or only JV, or to see what the rest of the program has on a day you’re planning for.
The switches only change what you see. The counts at the top and the warnings always use the whole schedule.
The schedule
Section titled “The schedule”The List view has one row per date:
- Date, with the day of the week (worked out from the date) and Tentative for dates that aren’t confirmed. A date note such as “or Feb 13” shows under it.
- Event: its name (a link when it’s a Wrestling Aide event, with its status and how many teams are attending), the type, Conference, the opponents, the times for each day, and your notes. When the host changed something you’ve set yourself, the row says “2 host changes to review”. See Host changes.
- Divisions: the divisions going, each in its color. “Doesn’t count toward limits” shows when you turned that off.
- Where: Home, Away, or Neutral site, the host school or venue, the address, and Bus stays or Bus goes back.
- Checklist: only the items that apply, under short names (Contract sent, Contract back, Bus, Hotel, Facility, Officials, USA Bracketing), plus Bracketing link and School schedule when you’ve added them. Contributors and admins tick items right in the row.
On a phone, each date is a card.
Warnings
Section titled “Warnings”A date can show warnings under its event. They’re reminders to check, and they don’t stop you from saving:
- Same day as another date for one of the same divisions. Several clashes fold into one line, like “Same day as Pierz Tri (Jan 9) and 2 more”.
- On a blackout date, with the blackout’s name, like “On a blackout date: Winter break”.
- Before the season starts or After the season ends, with your state’s date, like “Before the season starts (Nov 16)”.
Dates with the type Postseason don’t get the season warnings, since section and state tournaments run past the end of the regular season.
Host changes
Section titled “Host changes”A date you added from a Wrestling Aide event stays linked to it. Its status and the number of teams attending are always the host’s current ones. Five fields follow the host: the name, the date, the venue, the address, and the bracket link.
- Fields you haven’t set follow the host. When you add the date, anything you left empty is filled in from the event. When the host later changes a field you haven’t touched, your date changes with it, including moving to a new day with its times. History records it as “The host changed…”.
- Fields you’ve set are yours. Type your own venue, for example, and the host’s later changes to the venue don’t replace it. They wait for you to review.
A date with changes waiting shows “2 host changes to review” in the list. Select it (contributors and admins), or open the date and choose the Host changes tab. The tab lists each field with what the Host says next to what You have:
- Accept replaces your value with the host’s.
- Decline keeps yours. The change goes away and doesn’t come back unless the host changes that field again.
- Same means you have the host’s value. Yours means you set your own and there’s nothing new from the host.
- Fills in when you save means you’ve left the field empty; it takes the host’s value the next time you save the date.
The tab also shows the host’s weigh-in information when the event has any.
When a host makes a change for you to review, your team’s contributors and admins get a notification under the bell: “Event has changes to review”. It doesn’t say what changed; the Host changes tab does. Changes still waiting are also listed in the Monday digest email. See Emails.
A date for an event your own team hosts has no Host changes tab. It’s one record with the event. See List publicly.
List publicly
Section titled “List publicly”A date your team hosts starts out private: only your members and your AD see it. To let other teams find it, list it publicly.
A home date that isn’t a Wrestling Aide event yet shows List publicly in the list (contributors and admins), and in the date’s form under Public event. For a home dual, tri, quad, or dual tournament with no opponents yet, the link reads Find opponents; it does the same thing.
It opens the post event form filled in from the date: the name, the type, the dates, the divisions, the bracket link, and the teams wanted (1 for a dual, 2 for a tri, 3 for a quad). Add what the form still needs, such as the address and your contact details, and post it. Teams searching Events and teams on the Teams Looking board can then find it.
Once it’s posted, the date and the event are one record:
- The row says Listed publicly, with the event’s status and how many teams are attending. Public event in the date’s form links to the event and to Edit the event.
- Changing the date’s name, date, or bracket link on Our Season changes the public event, and teams that have it on their season follow.
- Editing the event on its own page changes your date the same way. History shows who did it.
- Other teams see only the event: its dates, location, divisions, teams wanted, and links. Your times, bus, checklist, and notes never leave Our Season.
To take a post down, cancel the event from its page.
The checklist
Section titled “The checklist”New dates start with the items that usually apply:
| Item | Home | Away or neutral |
|---|---|---|
| Contract sent | ✓ | |
| Contract received | ✓ | |
| Bus requested | ✓ | |
| Hotel booked | when you turn it on | |
| Facility booked | ✓ | |
| Officials booked | ✓ | |
| Added to USA Bracketing | tournaments | tournaments |
In the date’s form you can mark any item To do, Done, or Not needed. Hotel booked starts as Not needed; set it to To do for an overnight trip. Wrestling Aide only tracks contracts; your Athletic Director’s system sends them.
Add or change a date
Section titled “Add or change a date”Add a date opens a form. Select Add to Our Season to save a new date. Select the pencil on a row to change a date, then Save, or Remove and then Remove date to take it off (its times, bus, checklist, and notes go with it; a public event made from it stays). A date can run up to two weeks.
- Date, Last day (multi-day), Date note, and Tentative.
- Divisions, the Type, Home or away, and the Name.
- Where (away and neutral dates): pick the Host school from the schools in Wrestling Aide, or type the Venue and Address for anywhere else. Picking the host school gives the drive time for the bus. For a co-op, search for the school where it’s held; the co-op comes up. Once it’s set, Where shows the place, with icons to change or remove it.
- Public event (home dates): once the date is saved, it says whether the date is a public event, with List publicly when it isn’t. A new date says to save it first. See List publicly.
- Opponents: search for each school or co-op and pick it, or type a team that isn’t in Wrestling Aide and press Enter. Select the x on a name to take it off.
- Conference event.
- Counts toward season limits: on unless you turn it off, for a date that doesn’t count, such as 9th grade state.
- Estimated matches per wrestler: leave it empty to use the usual number for the type (dual 1, tri 2, quad 3, tournaments 4), shown under the box. Enter your own when you know better; individual tournaments usually run 3 to 5. Postseason dates don’t have this field or Counts toward season limits.
- Times and the Bus: see below.
- The checklist, the USA Bracketing or TrackWrestling link (where the event runs), the School schedule link (this event on the school’s posted schedule, such as Bound), and notes.
As you fill it in, Check before saving lists the same warnings as the schedule, plus limit warnings: “This makes 17 of 16 team events.”, or, for a girls-only date past the girls’ allowance, “The girls have used their 8 girls-only events, so this uses one of the team’s 16.” You can still save.
You can also add an event from its page: Add to Our Season in Your Team once you’ve marked your team attending, or Add to Our Season under More on an event you host. A date added from an event gets that event’s host as its host school, and its venue, address, and bracket link from the event. See Host changes.
Times and the bus
Section titled “Times and the bus”Each day of a date has its own times, so a two-day tournament has a set for Friday and a set for Saturday:
- Arrive by: when you need to be there. You decide; it isn’t tied to weigh-ins.
- Weigh-ins, Doors open for parents, Wrestling starts, and Estimated finish.
For an away or neutral date, Bus starts on No bus. Choose Bus stays or Bus goes back, and two more times appear, each with a Calculate button. A line under Bus shows the drive Calculate uses.
- Bus leaves: Calculate works out arrive by less the drive from your school. Use it on the bus request.
- Bus returns: Calculate works out the estimated finish plus the drive home. That’s when students are back at school.
You can type over either one. Calculate needs the host school picked (for the drive time) and the time it works from. The drive always starts at your school. Nothing is added to the drive unless you set Bus padding (see Bus times).
Home dates have the times but no Arrive by and no bus.
Copy to next season
Section titled “Copy to next season”Copy to next season (on Current Season) copies every date to the same weekday of the same week of the month, so the second Saturday in December stays the second Saturday in December. A date on a fifth Saturday moves to the last Saturday when next year’s month has only four. Dates are marked tentative. The times, the bus, the host school, and the links come along; the checklist is reset and event links are dropped. It only works while the next season is empty; once it has dates, the page tells you to add to it there instead. Date notes aren’t copied.
Send to WrestlingIQ
Section titled “Send to WrestlingIQ”Send to WrestlingIQ is shown but doesn’t work yet. When the WrestlingIQ connection is ready, it will add the dates WrestlingIQ doesn’t have and leave the ones already there unchanged.
Blackout dates
Section titled “Blackout dates”Blackout Dates in the menu lists the days your team can’t compete, such as school breaks and gym conflicts, for the season chosen at the top of the page. Contributors and admins add one with First day, Last day (leave it empty for one day), and What it is (for example Winter break), then Add blackout. A blackout can run up to two months. Each blackout is listed with its dates and a remove button. Adding and removing them shows in History.
Blackout dates are skipped by:
- Find events that fit our open dates.
- Event search, when you turn on Skip our blackout dates under More filters on Events. Only your organization’s members get the switch. See Search and filters.
- Matching between your team’s Teams Looking posts and events, both ways: events that fit your post, and your post on a host’s list of teams looking that fit their event.
Dates on your schedule that fall on a blackout get a warning.
Team size
Section titled “Team size”Team Settings in the menu holds Team size: how many wrestlers you have in each division this season, a count for each, not names. Contributors and admins enter them and select Save team size. Leave a division empty if you don’t have one. 9th grade isn’t listed: 9th graders wrestle on JV or varsity, so count them there. (9th grade is still a division for dates, such as a 9th grade tournament.) Each season has its own counts.
Logged-in coaches see your counts:
- next to your team under Teams Attending on an event you’re attending or hosting
- in Compare events
- on your organization page, under Team Size
People who aren’t logged in don’t see them. Other teams’ counts help you pick the event where your wrestlers get the best matches, so it helps everyone when coaches keep theirs current.
Sharing
Section titled “Sharing”Sharing in the menu. Contributors and admins change these; other members see the official calendar link.
- Official school calendar: once the schedule is final, the school publishes it on its own calendar (for example Bound). Paste that link and select Save calendar link so members can find it, and switch on The schedule is final.
- Link for your Athletic Director: a private, read-only page with the schedule, the times and bus for each date, and the checklist, in the same list, week, and month views. No login is needed, so share it only with your AD. Replace the link asks you to confirm, then makes a new one; the old one stops working, so send your AD the new link. An AD who manages scheduling can also join your organization instead.
- Email changes to: next to the AD link. Enter up to five email addresses, separated by commas, and select Save email addresses. Once a day, at the time saved search digests go out, each address gets a list of what changed on the schedule since the last email, with who made each change and a link to the AD page. Bus changes are spelled out, like “bus leaves 6:50 AM” and “bus goes back”. Nothing is sent on days without changes. The first email covers changes made after you added the first address. Each season has its own list.
Bus settings
Section titled “Bus settings”Bus Settings in the menu. Contributors and admins change it. Bus padding is a percentage added to the drive time when Calculate works out Bus leaves and Bus returns. It starts at 0, which uses the drive time as it is. Set it if you want a cushion, then Save padding. Each season has its own setting.
History
Section titled “History”History in the menu is a table of every change to the season’s dates and blackouts, newest first: When, What (Added, Changed, Removed, or Copied), Details (for example “Changed Sat, Jan 10: Pierz Tri (girls varsity, away): bus requested done”), and Who. Changes that came from a host (“The host changed…”) are listed under the name Wrestling Aide.
- Type in Filter to show only the changes with that word, event, or person.
- Select a column heading to sort by it; the menu on each heading filters that column, such as When for a range of dates.
- The last 500 changes are kept for each season.
Download
Section titled “Download”Download CSV saves the schedule as a spreadsheet, with the divisions, the first day’s times, the bus, and the checklist as Done, To do, or N/A.
