Set up your organization

As an admin, you keep your organization’s page accurate and decide who can post for it. Fill in the address and logo, invite your coaches with the right role, and make a second person admin.

  1. Open your organization’s page from the organization switcher in the top bar, or from Account Settings > Organizations.

  2. Choose Edit.

  3. Under Logo, choose Upload a logo: a square PNG or JPG, at least 256 × 256 pixels and up to 5 MB. It shows on your organization’s page.

  4. Under Details, check the Name, Street address, City, ZIP, and Website (your school’s or club’s own site), then choose Save.

The street address matters: it’s the default starting point for your members’ drive times and the default location when you post an event with Use [your organization]’s address. If searches say We don’t have a location for [your organization] yet, add or fix the address.

The organization’s type and state can’t be changed on this page. If they’re wrong, use Report a problem with this organization at the bottom of its page.

Public high schools and middle schools that were already listed are Verified. An organization added by a user starts Unverified. Its events are public right away, but their pages say “Posted by a new organization”, and it can have up to 5 upcoming events.

You don’t have to ask anyone. Wrestling Aide verifies your organization within the hour once either is true:

  • A member has a confirmed email address on your organization’s website domain. For example, Website is https://www.pierz.k12.mn.us and a coach logs in as [email protected]. Gmail, Yahoo, Outlook, and other free addresses don’t count.
  • One of your events has been up 14 days with no report.

See New organizations and reports.

  1. On your organization’s page, choose Members.

  2. Under Invite Someone, enter the coach’s Email, pick a Role (it starts on Contributor), and choose Send invite.

  3. The coach gets “[You] invited you to [organization]” with an Accept the invite button. They log in or create an account with that email address and choose Accept invite.

Invites last 14 days. Pending invites are listed under the form with their role and expiry; choose the ban icon (Revoke) and confirm to cancel one. An invite only works for the address it was sent to, so use the address the coach logs in with. If they open it while logged in with another address, the invite page tells them to log out and log in with the invited one.

When someone asks to join, every admin gets “[Name] asked to join [organization]”, with their note if they left one.

  1. Choose Review the request in the email, or open Members.

  2. Under Requests to Join, check the name, email, title, and note.

  3. Pick a Role for them (it starts on Contributor) and choose Approve as Contributor (the button names the role you picked), or choose the × (Decline).

The person gets an email either way. If nobody answers a request in 7 days, every admin gets a reminder. After 21 days it closes on its own, and the person is told to ask for an invite.

Under Members, each person’s Role is a menu in the table:

  • View: sees everything, including hidden events and change history.
  • Contributor: also posts and edits events, changes status, marks the team attending, joins wait lists, and posts that the team is looking.
  • Admin: also manages members and edits the organization.

A role change takes effect as soon as you pick it. To take someone out, choose Remove and confirm. See Roles.

Your organization’s Events page lists your upcoming events and any Teams Looking posts. Logged-in coaches also see your Team Size: wrestlers per division, which a contributor or admin enters on Our Season. Under Calendar, anyone can Subscribe in your calendar. Anyone can also copy the calendar address there. Contributors and admins also see On Your Website, with an embed code for your website. See Show your events on your website.
