Organizations and members

Events and team posts belong to an organization: a school, club, booster club, nonprofit, or other group. Coaches join the organization to post and manage its events. Each organization’s admins decide who gets in and what they can do.

Every organization has a name, a type, a city and state, and optionally a street address (used for drive times), ZIP code, website, and logo. When a team’s contributor or admin has entered wrestler counts on Our Season, its page also shows Team Size for the current season, per division, to anyone who is logged in.

Type Examples
High school Hopkins High School
Middle school Hopkins North Middle School
Youth club A youth wrestling club
Booster club A school’s wrestling boosters
Nonprofit Hopkins Wrestling
Other Community education, park and rec

For a co-op, find it by any of its schools: search for your school and the co-op comes up. See Co-ops.

Verification. Schools loaded from state data are verified from the start. Organizations added by users start unverified: their events publish right away but say “Posted by a new organization”, and they can have up to 5 upcoming events. They verify on their own when a member has a confirmed email on the organization’s website domain, or when one of their events has been up 14 days with no report. The organization page shows Verified or Unverified. See New organizations and reports.

  1. Go to the Welcome page (Join an organization under Account Settings > Organizations), or open the organization’s page.
  2. Search for your organization by name or city and pick it. On a site with more than one state, choose its state in the State dropdown beside the search box first.
  3. If the organization has no admin yet, select Join as admin. You’re its first admin right away.
  4. Otherwise select Ask to join. On the Welcome page you can add an optional Note to the admins, like “Assistant coach, girls team”.

A request shows as “Your request is pending” until an admin answers. You’ll get an email either way. While it’s pending, your account works like a parent or fan account: saved searches and watching, no organization actions.

If your organization isn’t listed, select My organization isn’t listed and add it. You become its admin.

Role Can do
View See everything, watch events, save searches
Contributor Also post and edit the organization’s events, change status, cancel, post team posts, join wait lists, mark attending
Admin Also approve requests, invite people, change roles, remove members, and edit the organization’s details and logo

Events belong to the organization, not the person who posted them. Any contributor or admin can edit any of the organization’s events, so they stay manageable when a coach moves on.

All of this is on the Members page (Members on the organization page).

Requests to join. Admins get an email when someone asks to join. Pick a Role (it starts on Contributor, so they can post events) and select Approve as Contributor (the button names the role), or select Decline. After 7 days with no answer, the admins get a reminder. After 21 days the request closes on its own, and the person is emailed to ask for an invite.

Invites. Under Invite Someone, enter an email, pick a Role, and select Send invite. The person gets a link that’s good for 14 days and works only for that email address. When they accept, they’re in with that role, no request needed. Pending invites are listed with Revoke, which asks before cancelling one.

Change a role. Pick a new role in the Role column, then confirm. Taking away your own admin role warns you first.

Remove someone. Select Remove and confirm. They lose access to the organization’s events.

On the Account Settings page, under Organizations, select Leave next to the organization. For a pending request, the button is Cancel request. The app asks you to confirm first.

The only admin can leave only when nobody else is a member. The organization’s events stay with it.

Deleting your account works differently: if you’re an organization’s only admin, its longest-standing contributor (or, with no contributors, its longest-standing member) becomes admin and gets an email. See Account Settings page.

You can belong to several organizations, with a different role in each. The organization menu in the header shows which one you’re Acting For. Posting, drive times, and wait lists use that organization, and forms let you pick another when you post for more than one.

  • Organization names can be up to 150 characters.
  • Admins can change the name, street address, city, ZIP, website, and logo. The type and state can’t be changed there.
  • Logos are JPG or PNG up to 5 MB, shown at up to 512 pixels.
  • Anyone can report a wrong claim or duplicate with Report a problem with this organization on its page. The site admin can reassign or merge organizations.
  • An invite works only for the email address it was sent to. Someone logged in with another address sees a warning and is asked to log out and log in with the invited one.

Your organizations are under Account Settings > Organizations. Each organization’s page has Members and Settings in its left menu for admins.
