Post an event and fill it with teams
Post the event with its divisions and how many teams you want, message the teams already looking that fit it, share the link, and keep the status current. The event is public as soon as you post it, and coaches whose saved searches match are emailed right away.
1. Post the event
Section titled “1. Post the event”The form is one page in four sections. The links at the top (1 Event, 2 Place, 3 Who can come, 4 Details) jump between them, and the Preview shows your event’s card as coaches will see it in search. What you type is saved in your browser as you go, so you can come back to it later.
-
Choose Post an event at the top of Events, or Post event on My Events or your organization’s page. If you post for more than one organization, pick the host under Hosting organization. If the date is already a home date on Our Season, choose List publicly there (or Find opponents for a dual, tri, or quad). The form opens filled in, and the event stays in step with that date.
-
1 Event: the Event name as teams know it (Pierz Invitational), the Event type (individual tournament, dual, dual tournament, tri, quad, or other), and the Start date and End date (the end date follows the start date for one-day events).
-
2 Place: if the event is at your gym, choose Use [your organization]’s address. Otherwise fill in the Venue (Pierz High School main gym), Street address, City, State, and ZIP, and check the Time zone. Distance searches use this address, so make sure it’s right.
-
3 Who can come: check each division, such as High school Boys/Co-ed and High school Girls. For high school, check Varsity, JV, or both. For youth, check the Age divisions (6U to 16U) and the Style (folkstyle is checked to start). High school and middle school events are folkstyle, so Style only shows when the event has a youth division. Then:
- Teams wanted: how many teams you want in total. The event page then shows Teams: 5 of 16 so far as teams mark themselves attending.
- Status: leave it on Open.
- Allow a wait list if you’d like teams to line up once you’re full.
-
4 Details:
- Registration link and Registration deadline (in the event’s time zone) if teams sign up somewhere else. Coaches watching your event get a reminder about three days before the deadline.
- Entry fee (per wrestler, per wrestler with a team cap, or per team), Times (doors open, weigh-ins, wrestling starts, and your own), Event website, Bracket link (a division can have its own), Membership required (mostly youth), and Notes (format, mats, awards).
- Contact: under How coaches reach you, keep Through Wrestling Aide messages to keep your email and phone private, or choose to show them. The name, email, and phone start with yours.
- Flyer (optional): a PDF, JPG, or PNG up to 10 MB. Images show on the event page.
-
Choose Post event. If a similar event is already listed, you see This might already be posted with the matches. Choose It’s a different event to go ahead, or Don’t post.
Several fields have a Learn more link that opens help in a new tab without losing what you typed. See Post event form for every field.
2. Reach teams
Section titled “2. Reach teams”You land on your event page with Your event is posted. It tells you how many teams looking fit your event.
-
Choose Message the teams that fit. Every fitting team is checked (the closest 25 if more fit); uncheck any you don’t want. The message starts with your event’s name, dates, city, and link. Edit it and choose Send to N teams. Each team gets its own conversation and an email, and their replies come to you in Messages. You can send to up to 25 teams at a time.
-
Share the event: Share the link opens your phone’s share menu, or copies the link on a computer. The link shows a preview with the date and place in texts and social posts. Post it in your conference group chat or email it.
-
Show your events on your website: on your organization’s page, choose Calendar in the menu on the left and, under On Your Website, copy the Embed code. It shows your whole schedule, home and away, and updates itself.
Later, find the same teams under Teams Looking in your event page’s menu, with Message teams. Only your organization sees that list. You don’t need to email coaches who saved searches: anyone whose saved search or Teams Looking post matches your event is emailed when you post it. To hear about new teams looking, choose Save search on Teams Looking. See Saved searches.
3. Keep it current
Section titled “3. Keep it current”- Update the status as spots fill: in the host panel at the top of the event page, tap Near capacity or Full. Or tap it on the event’s card in My Events. Tapping the status that’s already highlighted confirms it’s still right.
- Check-in emails: if the status hasn’t been confirmed in three weeks, you get “Is [your event] still open?” with buttons for Still open, Near capacity, and Full. Tap one, then confirm on the page that opens. No login needed.
- Teams attending: teams add themselves, and Add a team adds the ones that told you directly; you can Remove a team. When the count reaches Teams wanted, the host panel suggests switching to Near capacity or Full.
- Messages: coaches write to you with Message the host. You get an email for each message, and anyone who posts for your organization can reply from Messages.
- Wait list: when the event is full, teams can join the wait list. You get an email for each team, and the event page lists them in order with the coach’s contact and note. When you change the status back to open or near capacity, everyone on the list is emailed. The app doesn’t give out spots: contact the next team yourself.
- The host panel shows teams attending, teams looking that fit, watchers, and the wait list. My Events shows the same for every event, plus views.
- More > Add to Our Season puts your own event on your team’s schedule.
See Run your event through the season for the details.
4. After the event
Section titled “4. After the event”About a day after the event ends, you get “Post next year’s [event]?”. More > Copy to Next Season on the event page (or Post next season in the My Events spreadsheet, with Include past events on) opens a new event with the same details, moved to the same weekday next year. Check it and choose Post event.
