Post event form
The post event form is where contributors and admins post an event for their organization or change one. Posting a new event is one page in four sections: 1 Event, 2 Place, 3 Who can come, and 4 Details. Editing shows one section at a time: pick Event, Place, Who Can Come, Details, or Teams Attending in the menu on the left. Changes in every section are kept as you move between them, and Save changes saves them all; if something needs fixing, the section with it opens. It opens at /events/new for a new event and at /events/<id>/edit from an event’s Edit button.
You need to be a contributor or admin of the hosting organization. Logged out, the page asks you to log in. Logged in without that role, it explains you need it and links to Join or add your organization.
Top of the page
Section titled “Top of the page”The heading depends on how you got here:
| Heading | How you got here |
|---|---|
| Post an Event | Post an event on the events page, or Post event on My Events or your organization page |
| Duplicate Event | Duplicate on an event page or in My Events |
| Post Next Season’s Event | Copy to Next Season, Post next season, or a repost reminder email |
| Edit Event | Edit on an event page or in My Events |
| List Publicly | List publicly on a home date in Our Season |
| Find Opponents | Find opponents on a home dual, tri, quad, or dual tournament with no opponents yet in Our Season |
If you post for more than one organization, a Hosting organization menu appears above the form when posting a new event. It starts on the organization whose page you came from, or your acting organization. Picking one also makes it your acting organization in the header. Copies always stay with the original event’s organization, so the menu is hidden for them.
When a site admin edits someone else’s event, a note says the changes are recorded in the audit log.
Section links and the preview
Section titled “Section links and the preview”A row of links at the top of the form, 1 Event, 2 Place, 3 Who can come, and 4 Details, jumps to each section.
Preview shows the event’s card as coaches will see it in search, and it updates as you type: the name, status, dates, city, host, divisions, styles, event type, registration deadline, and teams wanted. On a wide screen it sits beside the form and stays in view as you scroll. On a phone or narrow window it’s below the form.
Several fields have a Learn more link that opens the help article in a new tab, so the form stays as you left it.
1 Event

| End date | Yes | Same as the start date for one-day events. It follows the start date until you change it. An event can last up to a month. |
2 Place
Section titled “2 Place”The button at the top carries your organization’s name, like Use Pierz High School’s address. It fills in the address, city, state, ZIP, and time zone from the hosting organization’s profile. If the venue is empty, it uses the organization’s name as the venue. Fields your organization hasn’t filled in come out blank.
| Field | Required | What to enter |

| Venue | No | Like “Pierz High School main gym”. Up to 150 characters. |
| Street address | Yes | The full street address. Distance searches start from it. |

| State | Yes | Pick from the list. Picking a state also sets the time zone. |
| ZIP | Yes | Five digits (ZIP+4 works too). |
| Time zone | Yes | Set from the state; change it for border towns. Registration deadlines are shown in this time zone. |
3 Who can come
Section titled “3 Who can come”Divisions: check each division the event has. There are six: High school, Middle school, and Youth, each as Boys/Co-ed or Girls. You need at least one. Posting boys and girls as separate events is fine too. Middle school is grades 6 to 8; high school can include grades 7 to 12.
When you check a division, its options open under it:
- High school: Varsity and JV. Varsity is checked to start. Pick at least one.
- Youth: Age divisions, 6U through 16U. Pick at least one.
- Bracket link for this division: only if this division has its own USA Bracketing or TrackWrestling event.
Middle school has no extra options. See Divisions and age groups.
Style appears right under the divisions, only when the event has a youth division. Pick at least one of Folkstyle, Freestyle, and Greco-Roman; Folkstyle is checked to start. Without a youth division, the event is folkstyle and the form says “High school and middle school events are folkstyle. Style is a choice when the event has a youth division.”
| Field | Required | What to enter |
|---|---|---|
| Teams wanted | No | A number from 1 to 500. Shown as “6 of 8 teams” as teams mark they’re attending or you add them. See Teams attending. |
| Status | Yes | Open (looking for teams), Near capacity (a spot or two left), or Full (no room). New events start as Open. You can’t post a new event as Cancelled. See Event status. |
| Allow a wait list | No | When the event is full, teams can join a wait list and get an email if it opens up. See Wait list. |
4 Details
Section titled “4 Details”All optional except the contact’s name and email.
| Field | What to enter |
|---|---|
| Registration link | Where wrestlers or teams sign up. Must start with https:// or http://. Shows as a Register button on the event page. |
| Registration deadline | Date and time, in the event’s time zone. It has to be on or before the last day of the event. |
| Entry fee | How it’s charged: Per wrestler, Per wrestler, with a team cap, or Per team, then the amount in dollars, and for a cap Most a team pays. Shows as “$25 per wrestler, up to $300 per team”. Fee note (optional, up to 100 characters) is for anything else, like “Cash or check at weigh-ins”. |
| Times | One tap adds Doors open, Weigh-ins, or Wrestling starts; Add a time adds one with your own name, like “Coaches meeting”. Each has a time, and for an event over more than one day, a day. Up to 30. |
| Weigh-in details | Optional text for anything that isn’t a time, like “Skin checks at weigh-ins”. Up to 300 characters. |
| Event website | A full web address. |
| Bracket link | USA Bracketing, TrackWrestling, or another bracket site. Division bracket links show as their own buttons. |
| Membership required | USA Wrestling card, AAU, None, or Other. Clear it to leave it unset. |
| Notes | Format, number of mats, awards, concessions, anything else. Up to 5,000 characters. |
Contact
Section titled “Contact”How coaches reach you comes first:
- Through Wrestling Aide messages (your email and phone stay private): the default. Coaches see the contact’s name and message you. See Messages.
- Show my email and phone on the event page.
Either way, your organization’s members see the details.
| Field | Required | What to enter |
|---|---|---|
| Name | Yes | Up to 100 characters. |
| Yes | A full email address. | |
| Phone | No | Up to 30 characters. |
For a new event, the contact starts with your name, email, and phone from your account. Copies keep the original event’s contact and choice.
Choose a PDF, JPG, or PNG up to 10 MB. Image flyers show on the event page; PDFs show as a download button. The flyer uploads after the event saves.
When editing, the current flyer shows with its file name and a Remove flyer button (it asks first, and takes the flyer off right away), and the upload field reads Replace the flyer. A duplicate keeps the original event’s flyer unless you choose a different file. Copies to next season start without a flyer.
Your draft is saved
Section titled “Your draft is saved”While you post a new event, the form saves what you’ve typed in this browser a moment after you stop typing, and the preview says when (“Draft saved 7:42 PM”). If you leave and come back to Post an event, the form opens with your details and says “We kept the details you started earlier.” Choose Start over to clear it and begin again. Posting the event clears the draft.
The draft lives only in this browser, one per organization. Edits to an existing event aren’t saved as a draft.
Saving
Section titled “Saving”Select Post event (or Save changes when editing). Cancel goes back to the page you came from.
If something needs fixing, a red box at the top lists the problems, and each one also shows under its field.
Teams attending (when editing)
Section titled “Teams attending (when editing)”Teams Attending in the edit page’s menu lists the teams on the event’s attending list, your own team first, each with Years (how many years it has come, counting this one; type a number for history from before Wrestling Aide) and, except your own, Remove (it asks first). Under the list is Add a team. Use it for teams that confirmed by phone or email: search for the school or club and select it. These changes save right away; they don’t wait for Save changes. It isn’t shown for a cancelled event or while you’re posting a new one. See Teams attending.
Duplicate check
Section titled “Duplicate check”When you post a new event, the app first looks for events already posted with a similar name, overlapping dates, and a nearby location. If it finds any, a yellow box says This might already be posted. and lists them with dates, city, and host. Each one opens in a new tab.
- It’s a different event: closes the warning. Select Post event again to post.
- Don’t post: leaves the form.
The check doesn’t run when you edit.
After you post
Section titled “After you post”The event is public right away, and you land on its page with Your event is posted. From there you can message the teams looking that fit it, share the link, or add a flyer. See Event details page.
If your organization isn’t verified yet, it can have up to 5 upcoming events, and posting a sixth says so. See New organizations and reports.
After editing, the event page says “Changes saved.” The person who first posted the event and your organization’s admins get an email about the change, unless they made it themselves or turned those emails off. Saving an event that was hidden after reports puts it back up the first time.
Copies: Duplicate and Copy to next season
Section titled “Copies: Duplicate and Copy to next season”Both open this form already filled in from an existing event (the address has ?from= and the event’s number). You check it and select Post event. Nothing is posted until you do.
| Duplicate | Copy to Next Season | |
|---|---|---|
| Dates | Same | Moved 52 weeks later, same weekday |
| Name | Same | Years in the name move up one, so “2026 Pierz Invitational” becomes “2027 Pierz Invitational” |
| Status | Open | Open |
| Registration link and bracket links | Kept | Cleared |
| Registration deadline | Kept | Moved with the dates |
| Flyer | Kept unless you choose another | Not copied |
| Everything else | Kept | Kept |
A note at the top of a next-season copy reminds you to check the details, registration link, and bracket link. You can only copy events from organizations you post for. See Copy and next season.
From Our Season: List publicly
Section titled “From Our Season: List publicly”List publicly (or Find opponents) on a home date in Our Season opens this form filled in from that date: the name, event type, dates, folkstyle, the divisions, the bracket link, and Teams wanted (1 for a dual, 2 for a tri, 3 for a quad). The heading reads List Publicly or Find Opponents, and a note at the top says “Filled in from” the date “on Our Season.” Once you post it, other teams can find it, and it stays in step with the date on your season: a change to the name, dates, or bracket link in either place shows in both. Your times, checklist, and notes on Our Season stay private.
On a phone
Section titled “On a phone”- The preview moves below the form.
- Fields that sit in pairs or rows of three stack into one column.
- Post event (or Save changes) stretches across the full width at the bottom.
