Event details page
Each event has its own page with what coaches need to decide and how to reach the host. The address looks like /mn/events/1234-pierz-invitational. Share it anywhere: it works for people who aren’t logged in. If the host renames the event, the address updates and old links still work.
| Who | What they see |
|---|---|
| Visitors | The details, Log in to message the host, Register, Log in to watch, More (Directions, Add to calendar, Share), teams attending, Report a problem |
| Logged in | Message the host and Watch |
| Contributors and admins of another organization | Also the Your Team panel: We’re attending or Join the wait list |
| Members of the host organization | The contact’s email and phone even when hidden, and History |
| Contributors and admins of the host organization | The host panel at the top, the full wait list, and Teams Looking |
The menu
Section titled “The menu”A menu on the left splits the page up. Overview has everything at the top: the title and facts, notes, your team, the buttons, and for hosts the host panel. Every other page shows just the event’s name, status, dates, and city above it (with a link back to Event overview), so the page you picked fills the screen.
| Page | What’s on it |
|---|---|
| Overview | Contact, Where, Details, Registration, Links, Notes, Flyer, and other events at this host on these dates |
| Teams Attending | The teams that say they’re coming |
| Wait List | When the host allows one: the count, and for hosts, the list |
| Teams Looking | Hosts only: open posts that fit this event, with Invite to this event |
| Messages | Hosts only: write to the teams attending, the wait list, both, or one team, and what you’ve sent |
| Forms | Hosts only: forms for the event’s teams, like a pre-event survey, and their answers |
| To-dos | Members of the host organization: the event’s to-do list, with who’s doing what and by when |
| History | Members of the host organization and site admins: every change to the event |
On a phone the menu is a button above the title that names the page you’re on; tap it to open the list of pages. A visitor’s short menu (Overview and Teams Attending) stays a row of links. Links into a page, like the counts in the host panel, open it directly.
Notes at the top
Section titled “Notes at the top”A colored bar at the top explains anything unusual:
- Posted by a new organization on Wrestling Aide. Check with the host before counting on it. The host’s organization isn’t verified yet. Its own members don’t see this. See New organizations and reports.
- Hidden for now: several coaches reported a problem with this event. Only members of the host organization can see the page. Hosts see how to put it back up with Edit.
- A site admin removed this event after reports. Only members of the host organization can see it.
- This event is cancelled.
- This event has ended. Hosts also get a Post next season’s event link here.
Title and facts
Section titled “Title and facts”The event name and its status badge: Open, Near capacity, Full, Cancelled, or Hidden (reported). Under it, one line of facts: the dates, the city, the drive time or distance when there’s a starting point, and Hosted by with a link to the host’s organization page.
Buttons for visiting coaches
Section titled “Buttons for visiting coaches”Right under the facts, anyone outside the host organization sees a row of buttons:
| Button | What it does |
|---|---|
| Message the host | Opens a message to the host. Logged out, it reads Log in to message the host. See Messages. |
| Register | Opens the host’s registration site. Shown while registration is open. When it’s there, it’s the main button. |
| Watch | Emails you when the status changes or registration is about to close. It reads Watching while you watch; choose it again to stop. Logged out, it reads Log in to watch. Hidden once the event has ended. See Watching. |
| More | A menu with Directions (Google Maps with the venue’s address, in a new tab; not for cancelled events), Add to calendar (a calendar file for the event; not once it has ended or been cancelled), and Share (your device’s share menu; on computers without one, it copies the link and says “Link copied.”). |
The Log in to buttons bring you back to this page after you log in and finish what you asked for: the message box opens, or the event is watched.
Your team
Section titled “Your team”Contributors and admins of other organizations see a Your Team panel right under the facts, above the buttons, for each team they post for, while the event is upcoming and not cancelled. It shows where your team stands and the one thing to do next:
| Your team’s situation | The panel says | Button |
|---|---|---|
| Not marked yet | “Going? Mark your team so the host and other coaches can see it.” | We’re attending |
| Marked attending | “Marked as attending.” | Add to Our Season and Undo |
| Event full, wait list open | “The event is full; you can join the wait list.” | Join the wait list |
| On the wait list | “You’re on the wait list.” | Leave the wait list |
| Event full, no wait list | “The event is full.” | none |
Add to Our Season opens Our Season with a new date filled in from this event. Join the wait list opens a short form: add an optional Note for the host, then select Join wait list.
When the host has sent your team a form, a Forms From the Host panel lists it with Answer (or Change answers once you have), also after the event. See Forms.
Marking your team doesn’t reserve a spot; the host decides. Message the host to confirm. See Teams attending and Wait list.
Contact, Where, and Details
Section titled “Contact, Where, and Details”Contact comes first. What it shows depends on the host’s choice under How coaches reach you:
- Private (the default): the contact’s name, “The host keeps their email and phone private. Message them through Wrestling Aide; you’ll get their reply by email.”, and Message the host.
- Shown: the name, with the phone and email as links that open your phone or email app.
Members of the host organization always see the email and phone, with a note saying whether other coaches see them.
Where shows the venue, street address, and city. If you searched from a place before, or you’re in an organization, it also shows the drive time or distance “from” that place. Directions opens Google Maps in a new tab.
Details lists each division, like “HS Boys/Co-ed · Varsity, JV” or “Youth Girls · 8U · 10U”, then:
- Level: the school-season levels (“High school (school season)”) and “Youth and club (year-round)”.
- Type, Style, and Season.
- Teams: “3 of 8 so far”, when the host set Teams wanted.
- Status: the status and when the host last confirmed it, like “Open, confirmed 3 days ago”.
Registration
Section titled “Registration”This section appears when the host added any registration details:
- The deadline, like “Registration closes Sat, Jan 3, 11:59 PM Central time”, or Registration closed once it has passed.
- Entry fee (like “$25 per wrestler, up to $300 per team”, with the host’s note) and Membership when the host filled them in.
Schedule lists the event’s times in order, by day for an event over more than one day, in the event’s time zone, with the host’s weigh-in details.
Visitors find Register in the buttons at the top. Members of the host organization get it here.
Links, Notes, and Flyer
Section titled “Links, Notes, and Flyer”- Links: Event website and a button for each bracket link, named for the site it points to (USA Bracketing, TrackWrestling, FloArena, or “Brackets”). Divisions with their own bracket link get their own button.
- Notes: the host’s description, with line breaks kept.
- Flyer: an image flyer shows on the page (select it to open full size). A PDF shows as Download flyer (PDF).
Teams Attending
Section titled “Teams Attending”Hosts see the teams in a grid instead: see Teams attending. Everyone else sees the teams that say they’re coming, each linked to its organization page with its city. The host’s own team is always first, marked Host. With no others yet: “No other teams have said they’re coming yet. Teams mark this themselves; it doesn’t reserve a spot.” (hosts see “…and you can add the ones that told you.” instead) Hosts also see how many years each team has come to the tournament (“4 years”, “First year”), Remove next to every other entry and Add a team under the list, to add a team that confirmed by phone or email: search for the school or club and select it.
When you’re logged in, each team also shows its size this season: the number of wrestlers in each division, such as “Girls varsity 13”, when its coach has entered them. See Team size.
Wait List
Section titled “Wait List”This page is in the menu when the host turned on Allow a wait list. Until the event is Full or a team has joined, it says the wait list opens when the host marks the event Full.
- Everyone sees the count, like “Wait list: 3 teams.”
- If the event isn’t full anymore, it says “The event isn’t full right now, so message the host instead.”
- Hosts see the full list in order (nobody else sees the order): each team, its city, the date it joined, about how many wrestlers it brings (with a total above the list), the coach’s contact details, and the note. Move to attending asks you to confirm, then moves the team to Teams Attending. Remove asks you to confirm, then takes a team off the list (they lose their place in line). The app doesn’t hand out spots; contact the next team yourself.
Also at this host on these dates
Section titled “Also at this host on these dates”If the same organization posted other events with overlapping dates, they’re listed at the bottom of the overview under “Also at” the host’s name. Separate postings of one tournament point to each other this way.
Bottom of the page
Section titled “Bottom of the page”- Add to calendar for members of the host organization, who don’t get the visitor buttons.
- Report a problem opens a short form. Describe the problem in What’s wrong? and select Send report. Logged out, you also enter Your email. When three different people report the same event, at least two of them logged in, it’s hidden until the host fixes it. See New organizations and reports.
- “Last updated” with the date and who made the change, and when the status was last confirmed. If an open or near-capacity event’s status hasn’t been confirmed in 30 days, a warning suggests checking with the host before counting on a spot.
History
Section titled “History”Members of the host organization and site admins get History in the menu: every edit, status change, and flyer change, when reports hid the event, and any site admin Restored or Removed, with who made it and when.
For hosts
Section titled “For hosts”The host panel
Section titled “The host panel”Contributors and admins of the host organization see a panel at the top of the page instead of the visitor buttons.
- Status: three buttons, Open, Near capacity, and Full. The current one is highlighted with a check mark. Tap another to change the status. Tap the current one to confirm it’s still right; the page says “Status confirmed. Coaches see it was checked today.” The line under the buttons says when it was last confirmed.
- Edit opens the edit form.
- More has Share, Duplicate (a new event with the same details and dates, handy for the girls’ version), Copy to Next Season (the dates moved to the same weekday a year later), Add to Our Season (puts the event on your Our Season schedule), and Cancel Event.
- Tiles with the numbers that show whether the event is filling: Teams attending (as “3 of 8” when you set Teams wanted, your own team included), Est. participants (the wrestlers your team and the teams attending are expected to bring; it says how many teams have no size yet), Teams looking fit, Watching, and with a wait list On the wait list. Invites pending appears while any invite is waiting for an answer. Select a tile to open its page.
Cancel Event asks you to confirm. The event stays listed with a Cancelled badge so teams know it isn’t happening, and your organization’s admins get an email. The status buttons are turned off while it’s cancelled; use Edit and pick a status to bring it back.
When the teams attending reach your Teams wanted while the event is still Open, the panel asks: “8 teams say they’re coming, which meets your 8 wanted. Switch to Near capacity or Full so coaches know?”
Right after posting
Section titled “Right after posting”The page opens with Your event is posted. It says coaches whose saved searches match were emailed, and how many teams looking fit your event. Its buttons: Message the teams that fit (when some fit), Share the link, and Add a flyer (when there’s none yet).
Teams Looking
Section titled “Teams Looking”The Teams Looking page lists open posts on the Teams Looking board with a matching division, style, and kind of event on these dates, within the team’s travel limit. Only your organization sees this. Message teams writes to them all at once; see Messages. Shows “None right now.” when nothing fits.
Under each post, Invite to this event sends the team an invite (see Invites); a team that’s already coming says Attending, and one you invited says Invite pending.
Messages
Section titled “Messages”The Messages page writes to your event’s teams in one go. Under Send to, pick Teams attending, Wait list, Both (when the event has a wait list), or One team; each choice shows how many teams it reaches. Write the message, choose whether to Share my email and phone with them, and select Send.
Each team gets it in its own conversation with you in Messages, with an email, so replies come back to you there. It goes to the team’s admins and the coach who marked the team attending or joined the wait list. A team nobody from is on Wrestling Aide (one you added after a phone call) gets it by email at the contact you keep for it under Teams Attending (Add contact), and its replies come to your email. With no contact either, the page names the team so you can add one. See Teams not on Wrestling Aide.
Sent lists every message you’ve sent from here: when, who sent it, to whom, and to how many teams.
The Forms page lists the event’s forms with their status (Draft, Open, or Closed) and how many teams answered. New form writes one; open a form to send it, see the answers in a grid with totals, remind the teams that haven’t answered, and close it. See Forms.
To-dos
Section titled “To-dos”The To-dos page lists what has to happen before the event, who’s doing it, and by when, with overdue ones marked. Contributors and admins add and change them (Add a to-do, Mark done, Start from the checklist); members with the view role read the list. The host panel shows Open to-dos. See To-dos and vendors.
On a phone
Section titled “On a phone”- The menu is a button above the title naming the page you’re on; tap it for the others. The facts and buttons wrap onto more lines, and Contact, Where, and Details stack.
- Message, Register, and We’re attending or Join the wait list stay in a bar at the bottom of the screen.
- More > Share opens your phone’s share sheet, so you can text the link.
