Teams attending

Teams attending is a public list on each event page of the teams that say they’re coming. The host’s own team is always first, marked Host, then the rest A to Z. Teams on the wait list aren’t on it; they’re on the Wait list until the host moves them. Coaches mark their own team; hosts add the teams that told them directly, see who’s coming, and can take a team off. It’s informational only: it doesn’t reserve a spot, and the host still sets the status.

  1. Open the event page.
  2. In the Your Team panel, find your team’s line: “Going? Mark your team so the host and other coaches can see it.” If you post for more than one organization, each team has its own line.
  3. Select We’re attending. The page says “Your team is on the list. The host still decides whether there’s room.”

Your team’s line then says “Marked as attending.” Add to Our Season on the same line puts the event on your team’s schedule. To take your team off, select Undo. Message the host to confirm you have a spot.

Anyone logged in sees each attending team’s size next to its name, the host’s included: how many wrestlers it has in each division this season. It helps you judge whether an event has good matchups for your wrestlers. The numbers come from each team’s team size, under Team Settings on Our Season; a team that hasn’t entered any shows none. To put events side by side, use Compare events.

When the event is Full, the panel offers the wait list instead (if the host allows one), and We’re attending isn’t shown.

When the host enters Teams wanted on the event form, the event page shows Teams: “6 of 8 so far” under Details, and cards show “6 of 8 teams” (“8 teams wanted” until the first team marks attending). The first number is the count of teams on the attending list, the host’s own team included, so a new event starts at 1. Count your own team when you set Teams wanted.

  • Add a team puts a team on the list yourself, for the ones that confirmed by phone or email. Select it at the top of Teams Attending on the event page, next to Invite a team, or above the list on the event’s edit page, search for the school or club, and select it. It saves right away. The team’s coaches see it on the event page and can take their team off.
  • Every team on the list except your own shows a trash can (Remove) for the host’s contributors and admins.
  • Years next to each team, for the host’s members only: how many years the team has come to your tournament, counting this one. It counts from earlier seasons’ events, when each was posted with Post next season’s event (or Copy to Next Season), and a year a team missed doesn’t reset it. To record history from before Wrestling Aide, type the number under Teams Attending on the edit page; next season’s count builds on it. Leave the box empty to go back to the count. Use it to give long-time teams priority; the wait list shows it too.
  • The host panel on the event page and My Events show the count, as “6 of 8” when you set a number wanted.
  • When the count reaches Teams wanted while the event is still Open, the host panel suggests switching to Near capacity or Full.

The host’s contributors and admins see Teams Attending as a grid of the teams attending and the invites out: School, City, State, Status, Years, Est. wrestlers, and Contact. Status is Host, Attending, Invite pending, or Declined invite. Teams on the wait list are on the Wait List page, where Move to attending gives one a spot. Type in Search teams to find one, sort or filter by any column, and download the grid as a spreadsheet.

  • Years: how many years the team has come to your tournament, counting this one (see above).
  • Est. wrestlers: how many wrestlers the team is expected to bring. It starts from the team’s size on Our Season in this event’s divisions, marked with *. Click the number for your team or a team attending and type your own, from a phone call or a survey; clear it to go back to the team’s size. The Est. participants tile adds these up.
  • Contact: “On Wrestling Aide” when someone from the team is on the site, or the email of your contact for a team that isn’t (see the next section).
  • The trash can (Remove team) on a team attending, and the ban icon (Take back invite) on a pending invite, both ask first.

Everything you do for your event’s teams works for a team nobody from is on Wrestling Aide, by email. Add a contact for the team: select Add contact on its row in the grid and enter an Email, with a Name and Phone if you like, then Save contact. Your organization keeps the contact for your other events and seasons; only your coaches see it.

  • Messages to your teams go to the contact by email. Their replies come to your email (when you share your contact), or to the event’s contact email.
  • Forms go to the contact with a link to answer, no account needed. Remind emails them again.
  • Invites go to the contact with a link to accept or decline, no account needed (see below).

A team with people on Wrestling Aide always hears through them instead, in Messages. Each email to a contact invites them to create a free account; once someone from the team joins, everything goes to them.

A host can invite any team to an event. On your event’s page, open Teams Attending, select Invite a team, find the team, add a message if you like, and select Send invite. For a team nobody from is on Wrestling Aide, the dialog asks for its contact (unless you’ve added one).

A team that posted on Teams Looking can be invited from its post, two ways:

  1. On your event’s page, open Teams Looking and select Invite to this event under the team’s post.
  2. On the Teams Looking board, select Invite on the team’s post (or Invite to your event on the post’s page), pick which of your upcoming events, add a message if you like, and select Send invite.

The team’s coaches get an email and a message in Messages. Until they answer, the team shows under Teams Attending as Invite pending, for your organization only, and it doesn’t count toward Teams wanted. Take back withdraws an invite they haven’t answered.

On the event page, the team’s Your Team panel says “Host invited team”, with Accept and Decline. Accept puts the team on the list; Decline takes the invite away. Either way you get the answer in the invite’s conversation in Messages. A team you invite after it declined gets a new invite.

A team nobody from is on Wrestling Aide gets the invite by email at your contact for it, with a link to Accept the invite or Decline, no account needed. Accepting puts the team on the list, and you get an email with the answer. With no contact for the team, add one first, or add the team with Add a team when they say yes.

  • Only contributors and admins can mark their organization as attending. The View role and accounts without an organization can’t.
  • A host can add any organization on the site, on any event that isn’t cancelled, including past ones. A team that isn’t on the site yet has to be added as an organization first.
  • The host organization is always on the list and can’t be taken off.
  • Each organization appears once per event.
  • You can’t mark attendance on an event that has ended, is cancelled, is full, or is hidden after reports.
  • Attending doesn’t send any email to the host.

The Your Team panel and the Teams Attending section of the event page. For hosts, Add a team there and under Teams Attending in the edit page’s menu, where you can also set Years. The counts in the host panel and on My Events, where the attending count opens the list.
