Teams Looking
A Teams Looking post says your team has open dates and wants an event to fill them. Hosts browse the Teams Looking board to find teams. The post also works as a saved search: you see events that fit right away and get an email when a new one is posted.
Post that you’re looking
Section titled “Post that you’re looking”Contributors and admins of an organization can post.
- Go to Teams Looking and select Post that we’re looking.
- If you post for more than one organization, pick the Team.
- Under When, choose A date or range or Specific dates (add more with Add a date).
- Under What You’re Looking For, check the divisions and the Kinds of events you’d go to. Style shows when you check a youth division or leave the divisions unchecked; otherwise the post is folkstyle.
- Optionally set Longest drive (minutes) (or Farthest distance (miles) on sites without drive times), Team size, and Notes.
- Check We could host a dual or tri on these dates if you could host instead.
- Under Contact, choose How coaches reach you (private and messages, or shown), check the details, then choose how to get emails about new events.
- Select Post that we’re looking.
The post page opens with “Events That Fit”: open and near-capacity events that match right now.
Matching rules
Section titled “Matching rules”An event fits a post when all of these are true:
- It’s published, Open or Near capacity, and hasn’t ended.
- Another organization hosts it.
- Dates: the event overlaps the post’s range, or one of the post’s specific dates falls on the event.
- Division: the event has a division with the same level and gender. For high school, they share varsity or JV. For youth, they share an age division, or the post named none.
- Style: they share at least one style.
- Kind of event: the event’s type is one the post wants.
- Travel limit: the event is within the post’s limit, measured from the team’s organization. Drive time is used when the site has it. With no limit, distance doesn’t matter.
- Blackout dates: the event doesn’t fall on one of the team’s blackout dates from Our Season.
The same rules apply to the matching emails. Hosts see the same matching in reverse: Teams Looking in the event page’s menu, shown to the host’s contributors and admins, lists them, with Message teams to write to them all at once. See Messages.
Reach a team
Section titled “Reach a team”Hosts can Invite a team to one of their upcoming events: the button is on each post on the board and on the post’s page. The team gets an email and a message, and shows as Invite pending on your event until it accepts or declines. See Invites.
On a post page, choose Message this team. The message goes to the coach who made the post and the team’s admins, and the conversation continues in Messages. If the team chose to show its email and phone, they’re on the post too.
Matching emails
Section titled “Matching emails”When a new event that fits is posted, the person who made the post gets “New event for your post: …” with the dates, place, divisions, status, and drive time.
- Send them: As they’re posted or In a daily digest.
- Also when a matching event reopens: also email when a full or cancelled event that fits becomes Open or Near capacity.
- Each new event is emailed once per post.
- The emails stop when the post is marked filled or its dates pass.
- Stop these emails in the email turns them off. The post stays on the board.
Turning off Saved searches: new matching events and teams under Account Settings > Email Notifications also turns these off. Turning on Weekly summary instead there puts them in one email a week, whatever the post says. See Email notifications.
Mark it filled
Section titled “Mark it filled”On the post page, select We found an event. The post shows as Filled and leaves the board. Still looking puts it back.
Rules and limits
Section titled “Rules and limits”- Dates can’t be in the past, and the first and last date can be at most four months apart. You can list up to 20 specific dates.
- At least one division, one style, and one kind of event are required. High school divisions need varsity, JV, or both.
- The travel limit is 5 to 600 minutes (or miles).
- Team size up to 100 characters; notes up to 2,000.
- Posts leave the board after their last date.
- Only the person who made the post gets its emails, and only while they’re still a member of the organization.
- Posts are public, like events. The contact’s email and phone are hidden unless the team chose to show them.
Hosting a home dual, tri, or quad that still needs opponents? Find opponents on Our Season posts it as an event filled in from the date, so teams with posts can find it.
Where to find it
Section titled “Where to find it”The Teams Looking tab for the board. Your team’s posts are under We’re Looking for Events on My Events, and open posts show on your organization’s page under Looking for Events.
