Event status

Every event has one status that tells coaches at a glance whether it’s still taking teams. The host sets it, and it applies to the whole event, all divisions included.

Status Meaning
Open Looking for teams.
Near capacity A spot or two left.
Full No room. Teams can join the wait list if the host allows one.
Cancelled The event isn’t happening. It stays listed with a Cancelled badge.

Contributors and admins of the host organization. People with the View role, and other organizations, can’t. A new event starts as Open unless the host picks Near capacity or Full on the form.

  1. Open the event. Contributors and admins of the host see the host panel at the top.
  2. Under Status, tap Open, Near capacity, or Full. The current status is highlighted with a check mark. The change saves right away, and the page says “Status changed to Full.” (or whichever you picked).
  3. To cancel, open More, choose Cancel Event, and confirm with Cancel event in the dialog.

While an event is cancelled, the status buttons are turned off. To bring it back, choose Edit, pick a status, and save.

When the teams attending reach your Teams wanted while the event is still Open, the host panel suggests switching to Near capacity or Full.

  • My Events: each event card has the same three buttons. In the list view (Show as list), the Status column has a menu. Neither offers Cancelled.
  • Edit: the event form has a Status choice (Open, Near capacity, Full). Cancelled only appears there when the event is already cancelled.
  • Check-in emails: hosts can answer “Is this event still open?” from the email without logging in. See Check-in emails.
  • Activity email: the person who posted the event and the organization’s admins get an email saying who changed the status. The person who made the change isn’t emailed.
  • Watchers get an email with the old and new status. See Watching.
  • Wait list: when a Full event becomes Open or Near capacity, every team on its wait list gets a “Spots may be open” email. See Wait list.
  • Saved searches: when a Full or Cancelled event becomes Open or Near capacity, people whose saved searches match get a “Reopened” email, if their saved search has that option on.

Search shows Open and Near capacity events, and Full events that have a wait list (teams can still get in line), unless you pick other statuses under More filters, Status. Events that have ended drop out of search no matter their status, unless you pick a Date range… that starts in the past. So do events whose registration deadline has passed, unless you turn off Registration still open under More filters.

The bottom of each event page says “Status confirmed” with a date, and the host panel shows it under the status buttons. The date updates whenever the host taps a status on the event page or My Events, changes the status with Edit, or answers a check-in email.

When an Open or Near capacity event hasn’t been confirmed in 30 days, the page shows a warning instead: “The host hasn’t confirmed this status since Nov 2. Check with them before counting on a spot.”

  • One status for the whole event. If one division fills while another has room, post the divisions as separate events.
  • A new event can’t be posted as Cancelled.
  • A Cancelled event hides Add to calendar and We’re attending.
  • An event hidden after reports shows a Hidden (reported) badge to its host until it’s fixed. See New organizations and reports.

The status badge is on every event card, row, map pin, and event page. Hosts change it in the host panel on the event page and on My Events.
