Wait list

A wait list lets teams get in line for a full event. It’s an option the host turns on, and it only takes new teams while the event is Full. Open and Near capacity events have no wait list to join; coaches message the host instead.

On the event form, check Allow a wait list. You can do it when posting or later with Edit. The setting covers the whole event.

  1. Open a full event that allows a wait list. The Your Team panel says “The event is full; you can join the wait list.”
  2. Select Join the wait list next to your team. If you post for more than one organization, each team has its own line.
  3. Add an optional Note for the host (optional), like “can bring 12 wrestlers”.
  4. Select Join wait list.

You’ll see “You’re on the wait list. The host will contact you if a spot opens.” The Your Team panel keeps showing “You’re on the wait list.” with Leave the wait list. Only the host sees the order of the list.

The host sees your name, email, and phone with the entry.

When a coach calls or emails to get on the list, or nobody from their team is on Wrestling Aide, add them yourself. This works whenever the event allows a wait list, before or after you mark it Full.

  1. On the event page, open Wait List and select Add a team.
  2. Find the team. If it isn’t listed, add it under Teams Attending on the edit page first.
  3. If nobody from the team is on Wrestling Aide, enter the Contact’s email, unless you’ve already added a contact for them.
  4. Add an optional Note, like “Called Monday, about 10 wrestlers”. Only your organization sees it.
  5. Leave Let (team) know they’re on the list checked to tell the team they’re on it, then select Add to wait list.

A team with people on Wrestling Aide gets the note in Messages. Any other team gets it by email at your contact for them. Either way, they hear when spots may open, just like teams that joined themselves. The list marks these entries “joined … by your organization” and shows your contact for the team.

Who What they see
Anyone “Wait list: 4 teams.”
A team on the list “You’re on the wait list.” and Leave the wait list, in the Your Team panel. Not its place in line
Host contributors and admins The full list in the order teams joined: organization, city, date joined, how many years the team came to the tournament before (“Came 3 years before”; see Teams attending), about how many wrestlers it brings, the coach’s name, email, and phone, the note, Move to attending, and Remove

The app doesn’t give out spots. When one opens, contact the next team directly. Once it says yes, select the person-plus icon (Move to attending) on its entry and confirm. The team comes off the wait list and shows on Teams Attending.

Each team on the list shows about how many wrestlers it brings, like “~14 wrestlers”: its size on Our Season in this event’s divisions, the same number the Est. wrestlers column on Teams Attending starts from. Above the list, “About 40 wrestlers on the wait list” adds them up. A team that hasn’t entered a team size shows no number and isn’t counted.

  • Team joins: the host gets “… joined the wait list”, with the team’s place and note. It goes to the person who posted the event, or to the organization’s admins if that person is no longer a contributor or admin there.
  • Event opens up: when the host changes the event from Full to Open or Near capacity, every team on the wait list gets “Spots may be open” at the same time. It goes to the coach who joined, or to the team’s admins if that coach’s account is gone. For a team the host added, it goes to the team’s coaches, or to the host’s contact for the team when nobody from it is on Wrestling Aide.
  • One entry per organization per event, kept in the order joined. Only the host sees the order.
  • A team is either attending or on the wait list, never both. A team on Teams Attending can’t join the wait list, and a team waiting for a Full event can’t mark itself attending; the host moves it. If the event isn’t full, a waiting team that marks itself attending comes off the wait list.
  • Notes can be up to 500 characters.
  • Only contributors and admins can add their organization. The View role and accounts without an organization can’t.
  • Host contributors and admins can add any team except their own or one already attending, while the event allows a wait list and hasn’t ended or been cancelled.
  • The host organization can’t join its own wait list.
  • Teams can join only while the event is Full, the wait list is allowed, and the event hasn’t ended.
  • Entries stay on the list when the event reopens. The host moves teams to attending as they’re placed, or removes teams that book elsewhere, and teams can leave at any time.
  • When the event isn’t full but teams are still on the list, the section shows the count with “The event isn’t full right now, so message the host instead.” With nobody on the list, the section is hidden from coaches until the event is full.

Coaches join from the Your Team panel on the event page. Wait List in the event page’s menu shows the count, and the full list to the host. Hosts also see the count in the host panel and on My Events.
